Export an Invoice

Create invoices in PDF form to be saved or distributed with ease.

Following an appointment, appointment package, merchandise or class sale, Better HQ gives you the option to create and export the relevant invoice. Invoices can be exported in multiple ways.

To export an invoice from the Invoices tab:

  1. Go here or go to Invoices

  2. A list of all client invoices will be shown.

  3. Go to the invoice you would like to export, the client for which the invoice is for can be seen in the first column and the date of the invoice can be seen in the third column

  4. Go to the column on the far right hand side, click 'Actions' and a dropdown menu will appear.

  5. Select 'Export Invoice'. The invoice will be downloaded as a pdf for you to use or distribute.

  6. You can directly export the invoice to a client or billing contact by clicking 'Email Invoice' from the dropdown menu, select which email you would like the invoice to be sent to and click 'Send'.

Note: Invoices can be accessed by selecting the sub-tab's Invoices, Payments or Sales from the Invoices tab.

To export an invoice from the Clients tab:

  1. Go here or go to Clients

  2. From your client list, select the client you would like to send the invoice to. You can also search for the client in the search bar.

  3. Go to the Invoices, Payments or Sales sub-tab.

  4. A list of all sales/visits/appointments will be listed here.

  5. Go to the column on the far right hand side, click 'Actions' and a dropdown menu will appear.

  6. Select 'Export Invoice'. The invoice will be downloaded as a pdf for you to use or distribute.

  7. You can directly export the invoice to a client or billing contact by clicking 'Email Invoice' from the dropdown menu, select which email you would like the invoice to be sent to and click 'Send'.

To export an invoice from the Pay/Invoice screen:

  1. Launch the Pay/Invoice pop-up screen

  2. Fill in the payment details

  3. Choose from the following buttons to either pay or create an invoice and export it accordingly:

    1. Red Pay Button: Pay and Create an Invoice to be accessed from the Invoices or Clients tab

    2. Red Email Button: Pay and Email the Invoice to the client or billing contact

    3. Red Print Button: Pay and Print the Invoice

    4. Blue Invoice Button: Create an Invoice with an outstanding balance

    5. Blue Email Button: Don't pay and email an outstanding invoice to the client or billing contact

    6. Blue Print Button: Don't pay and print the outstanding invoice
